Acuity Scheduling Klaviyo Integration: Sync Bookings to Email and SMS Flows
Acuity has no native Klaviyo integration. Here's how to sync Acuity bookings to Klaviyo with Zapier or Make, which flows to build, how to handle SMS consent, and what to keep out of Klaviyo.

Short answer: Acuity Scheduling has no native Klaviyo integration, so you connect them through Zapier, Make, or another connector: an Acuity event such as a new, canceled, or rescheduled appointment creates or updates a Klaviyo profile and adds it to a list that starts a flow. Use Klaviyo for marketing, such as welcome series, win-backs, and class launches, and keep time-critical appointment texts in a tool built for Acuity bookings.
Klaviyo is an email and SMS marketing platform built for ecommerce, and many studios already use it for their online shop, memberships, or newsletter. Acuity holds the booking data that makes those campaigns relevant: who booked, which class type, when they last came in, and who canceled. This guide shows how to move that data into Klaviyo, which flows are worth building, and where Klaviyo is the wrong tool for the job.
Does Acuity Scheduling integrate with Klaviyo?
Not natively. Acuity's built-in email marketing integrations are ActiveCampaign, Mailchimp, AWeber, Kit (formerly ConvertKit), Constant Contact, Drip, and Simplero, plus Squarespace Email Campaigns for accounts that log in with Squarespace. Klaviyo is not on that list, so every Acuity to Klaviyo setup runs through a connector or custom code.
| Connection method | How it works | Best for | Trade-off |
|---|---|---|---|
| Zapier | Acuity trigger, then Klaviyo actions such as "Add Profile to List" or create/update profile | Fastest no-code setup | Paid per task; some Acuity triggers poll on an interval |
| Make or Latenode | Visual scenario with filters, routers, and HTTP calls to the Klaviyo API | Different lists or properties per appointment type | More setup and maintenance |
| Integrately or Konnectify | One-click templates such as "create Klaviyo subscriber for new Acuity appointment" | Simple list syncing | Limited field mapping and logic |
| Acuity webhooks + Klaviyo API | Your endpoint receives Acuity events and writes profiles and custom events to Klaviyo | Teams with a developer | You own error handling, retries, and consent logic |
| Native alternative | Use one of Acuity's built-in email integrations instead of Klaviyo | Studios not committed to Klaviyo | Switching platforms if you already run Klaviyo |
How do you connect Acuity Scheduling to Klaviyo with Zapier?
- Decide what Klaviyo should receive. Usually email, first name, phone number, appointment type, appointment date, and calendar. Create matching custom profile properties in Klaviyo, such as last_class_type and last_booking_date.
- Pick the Acuity trigger. "New Appointment" for welcome and booking flows, "Appointment Canceled" for rebooking flows, "Appointment Rescheduled" to keep the date property current, or "New Product Order" for packages and gift certificates.
- Add a Klaviyo create or update profile action. Map the Acuity fields to the profile and its custom properties. Match on email so returning clients update one profile instead of creating duplicates.
- Add the profile to a list. Use a dedicated list per purpose, for example "Acuity: first booking" or "Acuity: canceled," because Klaviyo flows can start when someone joins a list.
- Handle consent explicitly. Only subscribe clients to email or SMS marketing if your Acuity intake form recorded that consent (see the consent section below). Otherwise sync the profile without subscribing it.
- Build the Klaviyo flow. Trigger it on the list, add time delays and conditional splits on the custom properties, and write the messages.
- Test end to end. Book, reschedule, and cancel a test appointment, then check the profile, list membership, and flow entry in Klaviyo.
Developers can skip lists and send a custom event to Klaviyo's API instead, for example "Booked Class" with the class type and date as event properties. Event-triggered flows give you finer control, because one profile can trigger the same flow every time they book.
Which Klaviyo flows make sense for a studio on Acuity?
| Acuity trigger | Klaviyo flow | Goal |
|---|---|---|
| First new appointment | Welcome series: what to bring, studio etiquette, intro offer for a class pack | Turn a first visit into a second booking |
| New appointment, specific class type | Cross-sell related classes or workshops | Increase visits per client |
| Appointment canceled | Rebooking nudge a few days later with a scheduling link | Recover canceled revenue |
| No booking for 30 to 60 days (segment on last booking date) | Win-back email with a new schedule or limited offer | Reactivate lapsed clients |
| New product order | Package onboarding and "book your next class" reminders | Make sure prepaid credits get used |
How should you handle SMS consent between Acuity and Klaviyo?
Consent is where most Acuity and Klaviyo setups go wrong. A phone number in an Acuity booking is not permission to send marketing texts. Klaviyo treats SMS consent separately from email and distinguishes transactional from promotional SMS consent, and its own compliance guidance says numbers collected without explicit SMS consent can only be used for non-marketing transactional messages.
- Add separate intake form questions. One checkbox for email marketing and one for marketing texts, with clear wording about what clients will receive and how to opt out.
- Pass consent through the connector. Use a filter so only clients who checked the box are subscribed to the SMS channel in Klaviyo.
- Remember Acuity's own text opt-in is different. Acuity asks clients to opt in to text reminders per appointment. That covers Acuity's reminder for that booking, not your Klaviyo campaigns.
- Mirror opt-outs. If a client replies STOP in one tool, make sure you are not still texting them marketing from another.
Our Acuity SMS opt-in guide has sample consent wording you can adapt for your intake form.
Should you send appointment reminders from Klaviyo?
Usually not. Klaviyo is built around marketing campaigns and flows, and three things make it a poor fit for appointment reminders:
- Timing depends on the sync. A reminder two hours before class only works if every booking, reschedule, and cancellation reaches Klaviyo quickly and correctly. A missed reschedule means a reminder for the wrong time.
- Replies don't change the booking. A client who answers "can't make it" or "running late" is not connected back to the Acuity appointment, so the seat is not freed for anyone else.
- Marketing and operational messages get mixed. Clients who unsubscribe from promotions can also lose the reminders that keep them from no-showing.
A cleaner split is Klaviyo for marketing and an Acuity-connected tool for operational messages. Aculio reads appointments directly from Acuity and sends booking confirmations, day-before and two-hour reminders for the appointment types you select, handles replies such as YES, CANCEL, and LATE in a two-way inbox, and sends class waitlist alerts by SMS or email when a seat opens. Texts go out from your own Twilio sender. For the full picture of SMS options, see our Acuity Scheduling SMS integration guide.
Klaviyo vs Acuity's native integrations vs Aculio
| Job | Klaviyo via connector | Acuity native email integrations | Aculio |
|---|---|---|---|
| Newsletters and promotions | Strong | Strong (Mailchimp, Kit, ActiveCampaign, and others) | Not its purpose |
| Segment by class type or last booking | Yes, with custom properties you sync | Yes, in most supported apps | Not its purpose |
| Setup without a connector | No | Yes | Yes, connects to Acuity directly |
| Appointment confirmations and reminders | Possible, fragile | No (Acuity's own emails handle this) | Confirmation, day-before, and two-hour reminders |
| Client replies tied to the booking | No | No | Yes, two-way inbox with keyword handling |
| Class waitlist alerts | No | No | SMS or email to everyone on the waitlist |
Frequently asked questions
Is there a native Klaviyo integration in Acuity Scheduling?
No. Acuity's built-in email marketing integrations are ActiveCampaign, Mailchimp, AWeber, Kit, Constant Contact, Drip, Simplero, and Squarespace Email Campaigns. Klaviyo connects through Zapier, Make, other connectors, or the two APIs.
Can Acuity add new clients to a Klaviyo list automatically?
Yes. Use the Acuity "New Appointment" trigger in Zapier with a Klaviyo action that creates or updates the profile and adds it to a list. Only subscribe clients to marketing if they gave consent at booking.
Can a Klaviyo flow start when someone books in Acuity?
Yes. Trigger the flow when the profile is added to a dedicated list, or have a developer send a custom event such as "Booked Class" to Klaviyo's API and trigger the flow on that event.
Can I send Klaviyo SMS to Acuity clients?
Only to clients who gave SMS consent. A phone number collected for a booking does not allow marketing texts, so add a separate SMS consent checkbox to your Acuity intake form and sync only those clients to Klaviyo's SMS channel.
Should I use Klaviyo for Acuity appointment reminders?
It is possible but fragile, because reminders depend on every reschedule and cancellation syncing correctly and replies don't update the booking. Most studios keep reminders in Acuity or an Acuity-connected tool such as Aculio and use Klaviyo for marketing.
Use each tool for the job it does best
Sync Acuity bookings into Klaviyo when you want sharper marketing: welcome series, cross-sells, and win-backs based on real class history. Keep confirmations, reminders, replies, and waitlist alerts tied to the Acuity booking itself. If that operational side is where your studio loses seats, start a 14-day free trial of Aculio or compare plans on the pricing page.
